TERMS & CONDITIONS

Please read these important Terms & Conditions if you are a parent, carer or guardian.

  1. General Terms
    1. These terms and conditions apply to all RugbyKids after-school clubs, PE lessons, and camps booked either through participating schools or directly via the RugbyKids website.
    2. By booking a RugbyKids session, you agree to abide by these terms and conditions.
    3. RugbyKids reserves the right to update these terms at any time, with any changes being communicated via our website.
  2. Bookings and Payments
    1. Bookings can be made through the school (where applicable) or directly via the RugbyKids website.
    2. Payment must be made at the time of booking unless an alternative arrangement has been agreed upon.
    3. Spaces are limited and allocated on a first-come, first-served basis.
    4. Confirmation of booking will be sent via email or through the school’s administration.
  3. Cancellations and Refunds
    1. Cancellations must be made in writing via email.
    2. If a participant cancels more than 7 days before the start date, a full refund will be given minus an administrative fee.
    3. Cancellations made within 7 days of the start date will not be eligible for a refund.
    4. In the event that RugbyKids must cancel a session, a full refund or credit will be provided.
  4. Participation and Conduct
    1. All participants must wear appropriate sports attire and bring a water bottle.
    2. Parents/guardians must inform RugbyKids of any medical conditions or additional support needs at the time of booking.
    3. Participants are expected to behave in a respectful manner.
    4. RugbyKids reserves the right to remove any participant from a session if their behaviour is deemed unsafe or disruptive, without a refund.
    5. Any relevant medical conditions of the child must be fully disclosed at the time of booking, in writing using the options on the RugbyKids website or if booking directly with the school, this must be made clear for RugbyKids coaches, including the supply and guidance of any medication.
    6. RugbyKids can only administer medication in an emergency and where a member of staff with an appropriate level of qualification is present at the emergency.
    7. Each child must be collected by a parent or guardian unless written consent has been given in writing prior to commencement of the session. The parent or guardian must sign out their child either following the RugbyKids process, using a “pick-up password” or in line with the school policy if booked directly with the school.
  5. Outdoor Classes
    1. Where sessions are run in a public space such as a park, recreation ground or sports club operated on council grounds, our coaches will always carry out a dynamic risk assessment, including an inspection of the “pitch” / general area that is being used for RugbyKids classes. If, for any reason, the area is not deemed safe or appropriate, the class will be moved. This inspection will not include the broader remit of the area, and RugbyKids only assumes responsibility for the area marked out as the “Pitch”.
  6. Limitation of Liability
    1. The Parent and/or Carer agrees that any claim made against RugbyKids will be made in writing within 30 days of the incident taking place and failure to report in writing within this time will negate any such claim.
    2. The maximum aggregate liability for RugbyKids to the Participant, Parent and/or Carer will not exceed the Fees.
    3. Neither RugbyKids nor any Coach, coach’s assistant nor any employee, agent or other representative accepts responsibility in respect of loss, damage or expense incurred by a Participant, Parent and/or Carer arising directly or indirectly or in any way connected with the attendance of the Participant, Parent and/or Carer at Classes (or any Class) or any other act or omission on the part of RugbyKids, its Coaches, coaches assistants, employees, agents and/or representatives.
    4. All warranties and conditions whether implied by statute or otherwise are excluded from this contract provided that nothing in this contract shall restrict or exclude liability for death or personal injury caused by the negligence of RugbyKids, its Coaches, coaches assistants, employees, agents and/or representatives or affects the statutory rights of the parent or Participant.
    5. The Parent and/or Carer agrees that any product purchased from the RugbyKids merchandise store is to be used at their own risk. RugbyKids will not accept responsibility for any personal injury which may occur due to improper use. As a consequence, RugbyKids recommends that all equipment is used under the supervision of a Parent/Carer.
  7. Fees & Payment
    1. The Parent shall pay the Fees for the Term to RugbyKids before the Participant commences a Term.
    2. The Fees are not refundable in any circumstances other than with the written consent of RugbyKids.
    3. All booking confirmations and dates are sent via email at the point of booking, including dates that the classes are not going ahead.
    4. If you arrive at a RugbyKids class and you have not made a booking or booked through your school, you will need to contact the local RugbyKids office or the school office to authorise attendance and make payment.
  8. After School
    1. Enrolment is subject to availability and will be confirmed upon receipt of a completed online registration form and payment via our website or via the schools booking forms.
    2. Each child must be registered individually, and spaces will be allocated on a first-come, first-served basis.
    3. Parents/carers must ensure that all provided information is accurate and up-to-date, including emergency contact details and any relevant medical information.
    4. RugbyKids is committed to ensuring the safety and well-being of all participants. All activities will be conducted under the supervision of fully trained and qualified coaches.
  9. General
    1. By agreeing to these terms and conditions, the Parent consents that the data provided (non-financial) can be shared within the RugbyKids group.
    2. The Parent shall indemnify and keep indemnified RugbyKids against all loss (including loss of profit), liability, cost and expenses which RugbyKids may incur directly or indirectly as a consequence of any action or inaction of the Parent, Carer and/or Participant.
    3. These terms and conditions constitute the entire agreement between the parties hereto and supersede prior agreements and understandings between the parties.
    4. This contract shall be governed by the laws of England and the parties submit to the exclusive jurisdiction of the English courts.
  10. Complaints
    1. All complaints will be handled in line with RugbyKids policies and procedures
    2. If the problem is not resolved to your satisfaction when raised with your coach please write to enquiries@rugbykids.co.uk within 7 days of your childs attendance.
    3. 1We take parents’ views and complaints very seriously and will do our best to resolve as quickly as possible.
